Botkeeper
Firm bookkeeping automation on QuickBooks Online or Xero: categorize, rec, and review in Infinite. One license per client entity.
Best for
Accounting firms that want AI categorization, recs, and close tracking on the client's QuickBooks Online or Xero file, with a published per-entity license.
Not ideal if
A DIY owner closing one set of books, anyone whose clients live in QuickBooks Desktop and will not migrate, or a firm that will not accept a review queue plus a February 2026 ownership change.
Standout
Published Infinite license prices (from $149/entity/mo) on the live QuickBooks Online or Xero file, with optional dedicated bookkeepers once you hold 10 licenses.
About Botkeeper
Botkeeper Infinite is firm bookkeeping automation. It is not the ledger and it is not a DIY owner's app. You buy one license per client entity, connect that client's QuickBooks Online or Xero file, and point Smart Connect (now folding into an Accounts Page beta) at the banks and cards. High-confidence lines can AutoPush back to the general ledger. Help docs use a 98% confidence cutoff. Lower-confidence items sit in Transaction Manager for your staff or a Botkeeper dedicated accountant. Auto Bank Rec, Bot Review exceptions, and Close Tracker stay in Infinite. You still lock the period in QuickBooks or Xero.
That is the opposite of Kick (a replacement ledger) and closer to Double (work on the live file). Double is a per-client close workspace from $10. Basis sells quote-only agents that also cover tax returns and audit fieldwork. Bench and Pilot are human bookkeeping services sold to the business owner. Botkeeper sells Infinite to the firm. Optional dedicated bookkeepers (Essentials from $1,499/mo on the services page) need at least 10 Infinite licenses. QuickBooks Desktop and other ledgers default to Infinite Lite: tasks, documents, and a portal, with no transaction automation unless you migrate.
Firms that stick have a book of QuickBooks Online or Xero clients and want categorization, recs, and close tracking in one place, with a published per-license price. They stay after they accept a review queue and a bill that grows with every entity. They also remember February 2026: Botkeeper announced a wind-down, then Xendoo bought Infinite. Accounting Today reported the software stayed up. Product notes were still shipping in September 2026.
What people who used it say
What they tend to like
Hands-off mechanical bookkeeping once a client is live
A bookkeeper with ~22 QBO clients who tried Botkeeper for six months said the model plus their team took over categorization, rec, and reporting, and close moved from about 12 days to 9.
Fits a larger firm that wants capacity, not a solo who wants to stay on every line
Same writer: solid if you have several staff and want to grow the book without matching headcount. Less of a fit if you want to stay close to every coding decision.
The software stayed up through the 2026 wind-down
Palmerino told Accounting Today the platform never went dark, and Xendoo's page says Infinite remains active and supported as its own division.
What they hesitate about
You manage their coding choices, not only your own
The same QBO-practice writeup: when a category did not match the firm's preference, they had to flag it, explain it, and wait. It felt like managing another team.
Onboarding is measured in weeks, not an afternoon
Same source: about three weeks per client, longer than expected.
February 2026 shutdown, then a new owner
r/Accounting treated the wind-down as another Bench-style failure. A June 2026 follow-up asked whether anyone actually kept service through the Xendoo purchase.

Close is review in Transaction Manager, Auto Bank Rec, and Bot Review, then you lock the period in QuickBooks Online or Xero. Infinite Lite (Desktop and other GLs) has no transaction automation, so close stays in the old file.
The books stay in QuickBooks Online or Xero. P&L, balance sheet, and cash flow can be pulled back into Documents. Add-on services will draft those reports and, after an assessment, file 1099s. They will not prep or file the income-tax return.

Features
Categorize into the live QuickBooks or Xero file
Connect the client's QuickBooks Online or Xero ledger. Transaction Manager scores each bank or card line. Help docs: AutoPush posts above 98% confidence; the rest wait in Needs Review. GL Automation can ingest the existing bank feed instead of Smart Connect. Do not run both on the same account or you risk duplicates.
Connect accounts, statements, and recs
Smart Connect links client financial accounts so the firm can pull statements without a password spreadsheet. A September 2026 release put an Accounts Page in public beta as the hub for connections, statement status, and reconciliation next steps.
Auto Bank Rec and Bot Review
Auto Bank Rec (still marked beta on the product page) compares extracted statement detail to GL activity and can complete the rec when nothing is off. Bot Review flags variances and exceptions in the general ledger so close starts at the misses, not a full search.
Close Tracker, tasks, and documents
Close Tracker shows Not Closed, In Progress, Open Items, or Closed across the book. Work holds tasks and recurring client requests. Documents is unlimited storage in a standard client folder tree. Activity Hub keeps the thread on the client instead of a side inbox.
Journal entry and loan schedules
JE Automation builds amortization and loan principal/interest splits and syncs them to the general ledger. Official Infinite page: variable-interest loans are listed as future work, not current.
Optional dedicated bookkeepers (10-license minimum)
Add-on services put a remote bookkeeper on your QBO, Xero, BILL, or Botkeeper workflow. Official services page starts Essentials at $1,499/mo and Professional at $2,499/mo. You need 10 Infinite licenses. They will not run payroll, pay bills, file tax returns, or take more than read-only bank access.
Pricing
A 4-client book on month-to-month Infinite is $596. Five clients drop to $109 each ($545) if the 5–9 band on the live directory matches the official $109 price point. Ten clients are $790 before any dedicated person. Add-on Essentials starts at $1,499/mo and still needs those 10 licenses, so a 10-client firm that wants a Botkeeper bookkeeper is about $2,289/mo before QBO/Xero seats. Annual billing is the lower strikethrough on the pricing page ($134 / $98 / $71 / $53). There is no free trial. A 5-person shop with one entity should not buy this.
Infinite (1–4 licenses)
Tech-only Infinite for a small book of QuickBooks Online or Xero clients. One license per entity. No free trial. Month-to-month or annual.
- AI categorization, Auto Bank Rec, JE Automation, Bot Review
- Smart Connect / Accounts Page, Transaction Manager, Close Tracker
- Activity Hub, Work, Documents, Password Manager, Firm Insights
- Self-guided onboarding and standard support
Infinite (5–9 licenses)
Volume step for a growing CAS book. Still software-only unless you later hit 10 licenses and add a dedicated resource.
- Same Infinite modules as the 1–4 tier
- Per-entity license; unused licenses stay on the subscription
Infinite (10–24 licenses)
The first tier that can unlock add-on dedicated bookkeepers. Ten active Infinite licenses is the published services minimum.
- Same Infinite modules
- Eligible to add Essentials or Professional dedicated resources
Infinite (25+ licenses)
Lowest published software rate. The pricing-page calculator uses this band for a 25-client example.
- Same Infinite modules
- Scales to unlimited clients on the official pricing FAQ
Add-on Essentials
Remote bookkeeper on night shift, US hours. Firm keeps client calls. Requires 10 Infinite licenses. Price from botkeeper.com/botkeeper-services.
- Categorization, recs, payroll entries, draft P&L and balance sheet
- Certified on QuickBooks Online, Xero, BILL, and Botkeeper
- No tax prep, no bill pay, no payroll processing, English only
Add-on Professional
Higher-touch dedicated resource, including optional client-facing calls. Same 10-license gate.
- Everything scoped on the Professional column of the services table
- AR/AP aging, inventory rec, sales tax computation, complex JEs as listed
- Same out-of-scope list: no tax returns, no CFO, no bill pay

Platforms
Audience
Pick something else instead of Botkeeper
Double
Pick Double instead if the firm only needs a per-client close workspace on QuickBooks Online or Xero from $10/client/mo, not a full Infinite license plus optional offshore bookkeepers.
Basis
Pick Basis instead if you want quote-only agents that also take a first pass on tax returns and audit fieldwork, not published bookkeeping licenses.
Bench
Pick Bench instead if you are the business owner and want humans to close your books. Botkeeper sells to the firm, not to a one-entity DIY shop.
Kick
Pick Kick instead if you want the software to be the ledger. Botkeeper sits on QuickBooks Online or Xero; Kick replaces them.
