About QuickBooks Online
QuickBooks Online is the ledger. You connect bank and card accounts (1 bank on Free; paid plans take the full feed), categorize the lines, attach receipts from the mobile app, send invoices, and enter bills. Those posts are the books. Profit and loss, the balance sheet, and the rest of the company file live here. On paid plans you invite your accountant into the same file (2 accountant seats, 3 on Advanced). Free has no accountant access.
It is not a companion sitting on another system. Kick replaces this file. Double sits on it. Wave is a simpler cash file. Xero is the other cloud ledger US firms already know. FreshBooks is invoice-first. This listing is QuickBooks Online only. Do not treat Desktop, Solopreneur, or Intuit Enterprise Suite as the same product.

Connect checking, savings, and cards. Lines land in the bank feed for you to categorize, match, or add a rule. Free: 1 bank. Paid plans: the full feed. Auto-categorization with validation is listed on Plus and Advanced.
Receipts and expenses on the phone
Snap a receipt in the mobile app (not on Free). QuickBooks matches it to a card or bank line, or creates an expense. Free: 2 receipts and 5 mileage trips a month. No approval workflow and no spend controls on the built-in tools.
Invoices and Payments
Send invoices and estimates. Essentials and above add recurring invoices. Customers can pay by card or bank transfer through QuickBooks Payments (processing fees extra). Free: 2 invoices and 1 estimate a month.
Bills and Bill Pay
Enter vendor bills and pay by ACH. Standard ACH is free up to an allotment, then $0.50. Bill Pay Elite (approvals, 1099 e-file, auto-reconcile) is included on Advanced, or $45/month on Simple Start, Essentials, and Plus.
Inventory, projects, classes (Plus and above)
Plus tracks inventory, purchase and sales orders, project profitability, budgets, and up to 40 classes and locations. Advanced lifts those caps and adds custom permissions. Inventory is a $40/month add-on on Simple Start and Essentials.
Accountant access and reports
Paid plans include 2 accountant seats (3 on Advanced). Run P&L, balance sheet, and (Essentials and above) KPIs and dashboards. Close still means you reconcile and lock the period in this file.

List prices on 12 Sep 2026: Free $0; Simple Start $38; Essentials $85; Plus $140; Advanced $340, with 50% off for 3 months. A 5-person service shop that needs inventory or classes is on Plus at $140/month after the promo. Payroll is a separate Workforce bundle (Plus + Workforce Premium lists at $228/month plus $13 per employee). Bill Pay Elite is $45/month unless you are on Advanced. Inventory is $40/month on Simple Start or Essentials. Payments take a processing cut (no single published rate on the accounting pricing page). Free is real but a teaser: 1 bank, 2 invoices, no accountant, no mobile app. Essentials, Plus, and Advanced renewals on or after 1 Aug 2026 moved to these list prices.
