Dext

Turns messy receipts and supplier invoices into coded data you publish to QuickBooks Online or Xero.

Best for

Businesses with real document volume, or a bookkeeper on the other end, that want every receipt, bill, and invoice extracted and coded before it reaches QuickBooks Online or Xero.

Not ideal if

Solo owners with a dozen receipts a month. There is no single-user tier, and the Business plan is more tool than a one-person shop needs.

Standout

Supplier Fetch that logs into listed vendor portals (legacy page still says 1,400) and pulls invoices on a weekly check, so recurring bills arrive without anyone forwarding them.

About Dext

Dext is a capture layer, not a ledger. You photograph, email, Dropbox, WhatsApp, or upload receipts, bills, and statements. Invoice Fetch logs into supplier portals and pulls invoices on a weekly check. Dext extracts supplier, dates, tax, and totals, suggests categories from your past coding, and you publish into QuickBooks Online or Xero with the image attached. You still close in those books.

It sits next to the file, like Receipt Bot and Hubdoc, not instead of it like Kick. Receipt Bot charges by credits and a person checks the extract. Hubdoc is the Xero-family inbox many firms already have. Expensify is reimbursement-first, with a free SmartScan habit and paid Collect for books sync. Shoeboxed is for a paper pile you mail away. Dext's job is bookkeeper-grade extraction, supplier Fetch, and a publish button your accountant already knows.

People who stick have real document volume, or a bookkeeper who already works in Dext. Recurring supplier invoices stop depending on someone remembering to forward them. The tenth repeat supplier arrives coded the way they coded the first nine.

What people who used it say

What they tend to like

  • Extraction holds up on messy documents

BookkeepDIY's own ranking put Dext first on crumpled and faded receipts. A public Dext vs Hubdoc thread called Dext better on bad data (supplier, tax, totals, line items).

  • Staff can dump paper and the bookkeeper publishes

Xero App Store reviews describe staff uploading immediately and coded items showing up in Xero after Publish.

  • The accountant already lives here

Firms put clients on Dext so the inbox is one product, not a new habit per client.

What they hesitate about

  • Too expensive if you only need a receipt pile

r/Bookkeeping threads shop for cheaper OCR alternatives, and one NPO called Dext too much to just save receipts.

  • The floor plan is sized for a team

Help (17 Jul 2026) states the base plan starts at 5 users with no single-user tier.

  • Firm pricing has a history of changing under people

Older r/Bookkeeping threads about Receipt Bank / Dext practice deals still circulate when firms compare inbox tools.

Features

Photo, email, Dropbox, WhatsApp, or Fetch

Snap on iOS or Android, forward to a dedicated address, drag-and-drop on the web, drop files in connected Dropbox folders, or send via WhatsApp. Fetch connects listed supplier portals and checks weekly after the first 48-hour pull.

Extract, then learn your coding

Dext reads supplier, dates, tax, and totals. Category and tax suggestions follow the rules and past publishes you keep. You review, then hit Publish into the connected ledger.

Line items on a small included credit

The base plan includes 5 line-item documents, 10 bank-statement sheets, and 5 supplier-statement extractions per month. Extra line-item volume is an add-on (US page: from $20.50/month or $0.50/document).

Publish to QuickBooks Online or Xero

Connect syncs chart of accounts, suppliers, customers, tracking, and payment methods. You publish a reviewed item. No extra fee for the connection. QuickBooks Desktop uses a separate Windows Connect App.

Expense claims and approvals

Employees submit receipts and mileage in the app. Managers approve. Approved, coded expenses can publish to the same QuickBooks Online or Xero connection. This is not a card that blocks a swipe.

5 users and 250 documents, then sliders

No single-user tier. Each extra user adds 50 documents. Hit the monthly cap and uploads still land, but extraction pauses until the next bill date or you raise the slider. More than 5 entities is custom pricing.

Pricing

A shop at the floor pays $31.50 a month, or $302.50 a year ($25.21/month). That is 5 users and 250 documents, even if only one person logs in. Extra users add 50 documents each. Line-item, bank-PDF, and supplier-statement volume above the small included credits is extra (line items from $20.50/month or $0.50/document on the US page). A 5-person shop with about 500 documents needs a higher slider, not the $31.50 floor. Firms buy a practice plan with a 10-client minimum; confirm that sticker on the partner page. More than 5 entities is a custom quote.
