About Hubdoc
Hubdoc is a capture layer, not a ledger. You photograph a bill in the iOS or Android app, forward it to a Hubdoc inbox, drag a file onto the web app, or scan through ScanSnap Cloud. Hubdoc reads supplier, amounts, invoice numbers, and due dates. You review, apply supplier rules if you want, and publish into Xero or QuickBooks Online with the image attached. You still match the bank feed and close in those books.
It sits next to the file, like Dext and Receipt Bot, not instead of it like Xero or Kick. On Xero Early, Growing, and Established it is included (Xero's US pricing page labels that Smart Document Capture). A QuickBooks Online shop pays the standalone $12 a month after a 30-day trial. Dext is the bookkeeper-grade peer with supplier Fetch and line items. Receipt Bot charges by credits and a person checks the extract. Shoeboxed is for a paper pile you mail away. Hubdoc's job is the Xero-family inbox: already on the Xero bill, or $12 if you stay on QuickBooks Online.
People who stick are already on Xero, or a firm that puts every client in the same Hubdoc practice. Recurring emailed bills get a forward rule and stop living in someone's inbox. They leave when the extract is a lump sum on a mixed invoice, when the Xero connection drops, or when they need Dext-style supplier Fetch after Hubdoc retired standard portal logins in 2022.

Supplier fetch is gone
Xero retired standard Hubdoc fetch connections on 27 Apr 2022. Intake is now photo, email, upload, ScanSnap, or leftover direct APIs that were not re-listed on a 2026 product page.

Accountant and practice access
Invite your accountant by email. Xero partners get a free practice Hubdoc organization and can add staff at no extra seat cost, then grant client access. Each client is its own organization.

A Xero shop on Early, Growing, or Established pays $0 extra. A QuickBooks Online shop, or a Xero Cashbook/Ledger client, pays $12 a month after the 30-day trial. No per-seat fee on the public page. A 5-person shop with about 500 documents still pays $12 if they stay standalone; they do not hit a Dext-style document slider. The hidden cost is cleanup: lump-sum extracts and a dropped Xero connection eat bookkeeper time.
