About Fathom
Fathom is a reporting layer, not a ledger. You connect QuickBooks Online, QuickBooks Desktop, or Xero (also MYOB, Sage Business Cloud, Excel, or Google Sheets). Fathom pulls the chart of accounts and monthly results. Cloud files can auto-update once a day, or you refresh by hand. You still code transactions and lock the period in the ledger. Fathom is where you build the management pack, KPI views, consolidations, and a three-way cash forecast.
That is the opposite of Kick (a replacement ledger) and closer to Numeric (work next to the file). Numeric is close checklists and recs. Fathom is the pack you send after the books are clean: branded reports, scheduled PDFs, and (on Pro) consolidations and forecasts. QuickBooks Online and Xero already print a P&L. Stay there if that is enough. Spotlight Reporting is the same-job peer already in this directory.
People who stick are owners, office managers, and firms who need a lender pack, a board pack, or a multi-entity view the native ledger reports do not give them. Firms add Portfolio to watch a client list on a dashboard without buying full Pro for every file. They stay when the books are already closed. A polished pack on a messy file does not help.

Close and lock in QuickBooks Online or Xero first. Fathom refreshes on a daily auto-update or a manual pull (QuickBooks Online and Xero: once every 24 hours, before 8am AEST). Then you run the pack, forecast, or consolidation. Nothing posts back to the ledger.

Import a company from QuickBooks Online, QuickBooks Desktop, or Xero (also MYOB, Sage Business Cloud, Excel). Cloud files can auto-update once every 24 hours, or you refresh by hand. QuickBooks Online: up to 3,000 accounts; France files are not supported. Portfolio imports 36 months. Pro imports up to 96 months.
Build and schedule management reports (Pro)
On Fathom Pro. Combine statements, charts, tables, and commentary in a branded report. Save templates, schedule draft or published packs, and share online or as PDF. Portfolio companies get a shorter Summary Report only.
Three-way cash forecast (Pro)
On Fathom Pro. Project P&L, balance sheet, and cash flow from the latest actuals, a budget, or a from-scratch model. Official forecast FAQ: indirect method; monthly, quarterly, or annual (not daily or weekly). One main forecast plus scenarios. Divisions (classes or Xero tracking categories) can be forecast on Pro.
Consolidate entities without extra group fees (Pro)
On Fathom Pro. Combine companies from mixed sources, apply intercompany eliminations, and (on multi-currency groups) convert into one presentation currency. Official cap: 300 entities in a same-currency group; 50 on multi-currency. Groups themselves are free. Every member must be on Pro. Not statutory or audit-ready.
Watch a client list on Portfolio
Firms can import cloud companies (Xero, QuickBooks Online, MYOB, Sage Business Cloud, FreeAgent, Google Sheets) onto Portfolio for the Insights Dashboard, metric drill-down, and a Summary Report. No Pro reporting, forecast, consolidations, or benchmark groups. Desktop and Excel companies must stay on Pro.
Draft report commentary (Pro)
Commentary Writer is on Fathom Pro reports only, not Portfolio Summary Reports. You pick up to six report components. It drafts commentary from those figures plus the business and report context you set. Official limits: trial-balance level only (no transaction drill), no templates, no industry averages. Pricing
A one-entity US shop on Pro Starter pays $59 a month (USD, excl. taxes) for unlimited users after a 14-day trial. Five Pro companies on Starter are $59 plus four extras at $59, or $295, until Silver ($315 for 10) is cheaper. You are not auto-moved to the next Pro tier until that math wins. A 5-person shop with one file still pays the same $59; seats are not the meter. Firms that only need a dashboard can put up to 100 cloud clients on Portfolio at $67 a month, then upgrade the few that need reports or forecasts to Pro. Standalone divisions and an Excel eliminations company can add another billable company unless support waives the eliminations slot. Live stub prices ($65 / $390 / $540 / $860) are stale.

QuickBooks Online
Stay in QuickBooks Online if a native P&L, balance sheet, and cash-flow report already answer the question. Fathom is an extra monthly bill for a pack, not a better set of books.
Kick
Pick Kick instead if you want the ledger itself: bank feeds, a weekly review list, and a year-end Excel package. Fathom sits on a file you already keep somewhere else.
Numeric
Pick Numeric instead if the pain is the close (checklist, recs, flux) rather than a branded management pack. Numeric is for a controller team. Fathom is for the report you send after close.
