About Zoho Books

Zoho Books is the ledger. You connect US banks and cards through Plaid or Yodlee so lines land in Zoho Books. You send invoices, enter bills and expenses, match the bank feed, and lock the period. Profit and loss, the balance sheet, and cash flow come out of the same organization. Invite your accountant into that org (Free includes 1 user plus 1 accountant).

It replaces QuickBooks Online. It does not sit on that file. Moving over is an export-and-import, not a live sync. Xero is the other paid cloud ledger US firms already know. Wave stays a free cash file. Kick is a newer US replacement ledger with a year-end tax package. Zoho Expense is a separate receipt-and-policy app that can sync coded reports into this file. Payroll is Zoho Payroll or SurePayroll, not inside the Books subscription.

People who stick usually already live in Zoho (CRM, Projects, Expense) or want a cheaper paid ledger than QuickBooks, with inventory and projects on Professional. US bookkeepers still warn that many CPAs only open QuickBooks, and that bank feeds can drop on smaller banks.

    Plaid and Yodlee fail on some banks. When that happens you import a statement, and Zoho is strict about the CSV shape.

  • Reporting and job costing feel thinner than QuickBooks

    At least one bookkeeper with a Zoho client called reporting awful on the plan the client would pay for, and told them to switch back.

Close is still you: categorize the feed, reconcile the statement, and lock the period in Zoho Books. Nothing writes back to QuickBooks.

Invite the accountant into the organization, or export P&L, balance sheet, and other reports as PDF, CSV, XLS, or Zoho Sheet. Zoho Practice is the firm workspace. Zoho Books does not e-file the income tax return. 1099 e-file is documented for paid / FY 2025 filings.

Features

Bank feeds and reconcile

Connect US banks and cards through Plaid (US and Canada editions) or Yodlee. Feeds refresh about every 24 hours when the bank does not require MFA. You categorize, match with bank rules, and reconcile here. Import a statement when a feed drops.

Invoices, quotes, and online payments

Send invoices and quotes. Customers can pay through Stripe, PayPal, Square, Authorize.Net, CSG Forte, or Zoho Payments (US). Annual invoice caps: Free 1,000; Standard 5,000; Professional 10,000; Premium 25,000; Elite and Ultimate 100,000.

Bills, expenses, and receipt autoscan

Enter vendor bills and expenses, attach receipts, and set recurring expenses. Autoscan: Free and trial 50/month; Standard and Professional 200; Premium and above 1,000. Native employee expense claims are a separate add-on ($7–$9 per active user). That add-on is not Zoho Expense.

Inventory and purchases (Professional and above)

Professional is sold for projects, inventory, and purchases: items, stock, reorder points, and adjustments. Elite is sold as full inventory (composite items, packages, shipments). Do not treat Standard as an inventory plan.

Projects and timesheets (Professional)

Log time, set project budgets, and bill hours, tasks, or expenses on the project. Professional is the inventory-and-projects plan. Standard is books, invoices, and reports.

W-9, 1099s, and sales tax

Track 1099 vendors, collect W-9s, and generate 1099-NEC and 1099-MISC. Paid-plan help documents direct IRS e-file for Financial Year 2025, plus IRIS export, Tax1099, and Yearli. Avalara AvaTax is a named US integration. Zoho Books does not e-file the income tax return.

Pricing

A 5-person shop that needs inventory and projects pays Professional: $40/month billed annually ($480/year) or $50 month-to-month, with 5 users included. A sixth user is $2.50/month yearly ($3 monthly). Free only works if revenue stays at or under $50K and you can live with 1 user plus 1 accountant and 1,000 invoices a year. Payroll is extra: Zoho Payroll US Standard starts at $29/org/month yearly plus $5 per employee. Native expense claims are another $7 per active user yearly. BillPay is $59/month yearly if you want ACH vendor payments and matching. Do not confuse that bill with Zoho Expense.
