About Brex

Brex is a corporate card, expense, bill pay, travel, and business-account platform. It is not a ledger. You apply for a Brex Mastercard (no personal guarantee; underwriting uses company cash, revenue, or funds raised), issue physical or virtual cards with spend limits, and employees book travel or snap receipts in the same app. Card charges land already categorized, often with a receipt attached. Out-of-pocket spend can be reimbursed. Bills can be entered and paid from the same login. You map GL codes, then send a bank feed plus a review-and-export of receipts, memos, and categories to QuickBooks Online or Xero. You still close the books there.

It covers more surface than Ramp (card-first spend with travel on the same login) or Expensify (a phone camera for out-of-pocket receipts). Navan is the closer booking-first stack if travel is the whole job. Mercury is the bank if you want operating cash without adopting a spend platform. Kick replaces QuickBooks; Brex sits next to it. One Brex account maps to one QuickBooks Online company. Extra entities need a CSV or a second Brex account.

People who stick are usually adding headcount and vendors fast, and they want one place for cards, reimbursements, and travel so a department budget is one number. They care most about controls at swipe and a coded export at close, not a simpler reimbursement app.

Cards with spend limits at swipe

Issue unlimited physical and virtual Mastercard cards. Set category, merchant, and amount limits so a swipe can decline. No personal guarantee and no annual card fee on the public card pages.

Receipt capture and reimbursements

Many card charges get a receipt and memo filled in. Photograph the rest in the iOS or Android app. Out-of-pocket spend can be reimbursed, including payroll payout. Advanced receipt extraction is Premium and above.

Travel booking on the same login

Search and book flights, hotels, and cars inside Brex. Travel booking is free on Essentials. Premium adds group travel, managed travel rules, and a concierge.

Bill pay next to the cards

Vendors send invoices. Brex extracts the fields, routes approvals, and pays by ACH, wire, check, or card. Bills sync to QuickBooks Online and Xero. Bills edited in Xero do not write back.

Export coded spend to the ledger

Connect QuickBooks Online or Xero on Essentials. Use the bank feed plus a prepare/review/export of categories, receipts, and memos. Custom AI mapping is Premium. One Brex account maps to one QuickBooks Online company. QuickBooks Desktop is a file, not a live sync.

Live Budgets and extra policies

Spend limits that cover cards, reimbursements, and travel are on every plan. Premium ($12 per active user) adds Live Budgets, multiple expense policies, dynamic review chains, and AI compliance insights.

Pricing

A five-person shop that gets approved pays $0 for software on Essentials. Brex earns on interchange, so the deal assumes spend sits on Brex cards (and usually the Brex cash account). Premium is $12 per active user per month, billed in arrears (five people is $60/mo), with one 30-day trial. FX markup is up to 3% on converted card charges. Managed travel on Premium may add a per-trip fee; the dollar amount was not published. Credit is underwritten from cash, revenue, or funds raised, not a personal FICO, and not every shop will get the limit they want.
