Ramp

Corporate cards with spend controls built in, so fewer bad purchases happen in the first place.

Best for

Teams ready to move spending onto company cards and enforce limits automatically instead of chasing reports after the fact.

Not ideal if

Teams that will not switch cards, or where most spend is employees paying out of pocket. Ramp's reimbursement workflow works, but it is not the product's center of gravity.

Standout

Virtual cards with merchant and amount locks, so a subscription card literally cannot be charged by anyone else.

About Ramp

Ramp is a corporate card and spend platform, not a ledger. You apply for a Ramp Visa charge card, issue physical and virtual cards with merchant and amount locks, and employees swipe. Ramp texts or Slacks the cardholder for a receipt. You map categories to your chart of accounts once. Coded card charges, reimbursements, and bill payments sync to QuickBooks Online or Xero. You still close and lock the period in those books.

It does not replace QuickBooks Online or Xero. That is the opposite of Kick (a replacement ledger that can take a Ramp feed). Expensify is reimbursement-first if people still pay out of pocket. BILL Spend & Expense is the other free card program, built around hard budgets that decline at the register. Brex covers cards, reimbursements, and travel with more banking surface. Navan is the deeper travel-booking desk if trips are the whole job.

People who stick move spend onto Ramp cards so month-end is review, not a receipt hunt. Bookkeepers on public forums cite the SMS receipt chase and the QuickBooks Online sync. The software on Free is $0; Ramp earns on card interchange.

What people who used it say

What they tend to like

  • SMS receipt chase that employees actually answer

A text after the swipe beats chasing reports at month-end.

  • Virtual cards with limits beat a shared company card

Issue a card per person or vendor, set a cap, and see spend as it happens.

  • QuickBooks Online sync cuts the card close

Bookkeepers point teams here when they are still reconciling a shared card by hand.

What they hesitate about

  • Credit limit moves with the bank balance

A temporary dip in the linked account can cut the limit and take work to restore.

  • Statement pay-downs can sit pending for days

Cards can decline while a payment is still clearing, which hurts high-spend weeks.

  • Support is ticket-first, not a live desk

Accountants report next-day email and help-article loops when something breaks.

You review coded lines in Ramp, sync, then match the statement payment in QuickBooks Online or Xero and lock the period there. QBO card sync is USD only. One Ramp account maps to one QBO company.

Invite the accountant to QuickBooks Online or Xero, or send that file. Receipts attach on synced lines. Ramp does not produce a year-end tax package.
